Information we collect
Creditor and debtor identification details, claim particulars, invoices, supporting documents and the correspondence recorded against a claim. We also log platform activity such as sign-ins, document views and downloads, ledger entries and exports.
Why we process it
To assess and manage the claim you submit, to refer it to a partner advocate where appropriate, to account for money recovered, and to meet legal and record-keeping obligations.
Who can see it
Access is restricted by role. A user only sees claims belonging to organisations they are a member of. A referred advocate sees only the claims referred to them. Raw audit records are restricted to the platform's highest administrative role and cannot be deleted by anyone.
Storage and security
Documents are held in private storage and served through short-lived signed links. Files are stored under randomised names with the original filename kept only as metadata. Database access is enforced row by row on the server, not in the browser.
Retention
Financial records are retained for seven years. Other case material is retained for the configured retention period for its record type and then reviewed.
Your choices
Signed-in client users can export their own organisation's data from the dashboard and can submit a deletion request. Deletion requests are reviewed by an administrator; financial records within the retention period are preserved.
Consent record
The declarations you accept when submitting a claim are recorded with the claim reference and the time of submission.
